This notice applies to website visitors, consultation enquiries, customers, students, suppliers and people whose information is processed while Cerebro delivers a service.

Syno is an optional AI companion. When you send a message, your message and a limited part of the conversation are sent through Cerebro’s server to Replicate to generate a response using the Qwen model. Do not send passwords, confidential information or personal details about customers. AI answers may be wrong; check important details with Cerebro.
If you choose voice input, microphone access starts only after you press the microphone. Audio is sent to Replicate’s Whisper transcription model only when you press Send; cancelling discards the recording. Images and documents you select are temporarily processed through Cerebro’s server, and their relevant content is sent to Qwen with your question. Original uploads and recordings are not deliberately stored by Cerebro. Syno remembers a Hide preference in session storage for this browsing session.
After a microphone-submitted question, Syno’s reply is also sent to MiniMax Speech through Replicate to generate an AI voice response. For typed questions, this happens only if you choose Read aloud. You can pause playback at any time. Generated audio is temporarily held in browser memory and, for up to five minutes, server memory to avoid repeated generation; it is not saved in local storage.
Syno also receives the public Cerebro page and section you were viewing when you opened the chat. This does not include a screen recording, page form values or your full browsing history. For questions needing current external information, a short query made from recognised public topics may be sent to Tavily, a search provider. Your full conversation and attachments are not sent to that search provider. Search results may be held temporarily in server memory to avoid repeated requests. Follow-up search may use a recognised public product or topic from your recent messages.
Syno stores up to 12 recent conversations, with up to 60 messages each, in this browser’s local storage for up to 30 days. Old conversations are pruned when you next open or use Syno. Transcribed messages and attachment filenames may appear in that history, but original files, image data and recordings are not saved there. They are not synced to an account. Open full-screen chat to see your history and use the bin beside a conversation to delete it. Clearing this website’s browser storage also removes that local history. If storage is unavailable, the chat works for the current visit.
These requests also pass through the website host. Cerebro’s chat handler does not deliberately save message bodies or log them, but hosting and model providers process the requests under their own policies. Deleting local history does not delete a provider’s records. A temporary, hashed network address is used to limit request abuse. See Replicate’s privacy policy. 1. Who is responsible for your information
Cerebro is the controller of personal information collected directly through this website and during consultations, quotations, purchases and client relationships. The contracting person or legal entity will be identified in the relevant order confirmation, order form or invoice.

2. Information we may collect
- Identity and contact details: name, email address, telephone number, organisation, role and the category that best describes you.
- Consultation and project information: the problem you describe, requirements, budgets, timelines, files, workflow information and communications.
- Account and service information: access permissions, configuration choices, support requests, service history and records needed to operate an agreed system.
- Payment information: package, amount, billing status, invoice details and payment references. Payments are handled through Stripe. Full card or bank details are handled by Stripe and are not intended to be stored by Cerebro.
- Technical information: device and browser details, security logs, pages or features used and necessary session-storage information.
- Marketing preferences: whether you have separately chosen to receive optional updates or offers.
3. Why we use personal information and our lawful bases
- To respond to enquiries and prepare quotations: necessary to take steps at your request before a possible contract.
- To deliver, support and improve contracted services: necessary to perform a contract and, where appropriate, for Cerebro’s legitimate interest in operating a reliable service.
- To process payments, invoices and accounting records: necessary for contract performance and legal obligations.
- To secure the website and systems: legitimate interests in preventing fraud, misuse, data loss and unauthorised access.
- To comply with law or lawful requests: legal obligation.
- To send optional marketing: consent where required. Marketing consent is separate from a consultation request and can be withdrawn at any time.
4. AI, automation and client data
Cerebro may use AI and automation providers to perform agreed tasks, prepare drafts, classify information, operate workflows or support delivery. The service design, permitted data and safeguards will depend on the project.
Cerebro does not intend to use confidential client material to train a public or general-purpose model. Where an external provider processes client information, Cerebro will assess the provider, limit the information supplied where reasonably possible and document material processing arrangements in the relevant project scope or data-processing terms.
Cerebro does not intend to make solely automated decisions that produce legal or similarly significant effects about website visitors or consultation applicants. Important decisions remain subject to human review.
6. International transfers
Some service providers may process information outside the United Kingdom. Where required, Cerebro will use an approved transfer mechanism or another lawful safeguard and will consider the risks associated with the destination and provider. Project-specific information may be provided where an integration materially changes the transfer arrangements.
7. How long we keep information
- Unconverted consultation enquiries: normally up to 24 months after the last meaningful contact, unless a shorter period is appropriate or you ask for deletion.
- Client and project records: for the duration of the relationship and normally up to 6 years afterwards where needed for contracts, disputes, tax, accounting or legal records.
- Support and security records: for as long as reasonably required to investigate issues and protect the service.
- Marketing records: until consent is withdrawn or the information is no longer useful, with a suppression record retained where necessary to respect an opt-out.
- Project data held in connected systems: according to the agreed service scope, client instructions and any data-processing agreement.
8. Security
Cerebro will use proportionate technical and organisational measures such as access controls, least-privilege permissions, secure credentials, provider due diligence, backups where agreed and incident-response procedures. No online system can be guaranteed completely secure, and customers must also protect their own accounts, devices and credentials.
9. Your rights
Depending on the law that applies, you may have rights to access, correct, erase, restrict or object to the use of your information, and to receive certain information in a portable form. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. Some rights are subject to legal exceptions.
To exercise a right, contact the business email listed below. Cerebro may need to verify your identity. You can complain to the UK Information Commissioner’s Office if you are unhappy with how your information is handled. Cerebro asks that you contact us first so the concern can be investigated promptly.
10. Children and students under 18
The website may be relevant to college and university students, but paid services are not intended to be purchased independently by children. A person under 18 must involve a parent, guardian or authorised institution before entering a paid contract. Cerebro will not knowingly collect more information from a child than is necessary and will apply additional care where age is known.
