This short guide helps you find your way around. Read the full terms below for the details that apply.

No customer should be charged without seeing the package, total price or calculation method, billing frequency and material conditions first.

1. Free consultation

The initial private consultation and initial written breakdown are free. Cerebro will not take payment merely because a consultation form is submitted. A consultation request is reviewed first, and chargeable work begins only after scope and price have been agreed and the required payment or deposit has cleared.

2. Currency, taxes and displayed prices

Unless stated otherwise, prices are in pounds sterling. VAT will be added only where legally applicable. Before checkout or invoice acceptance, Cerebro will show the total price or explain clearly how it will be calculated, including any mandatory setup fee or recurring charge.

Introductory or founding-client prices apply only to the scope stated. Additional work requires separate approval.

3. One-off services

  • Small, clearly scoped agent projects may require full payment through a secure Stripe payment link or invoice after the consultation and scope review.
  • Bespoke one-off services will normally use either full payment in advance for a small fixed scope or an agreed deposit and milestone structure.
  • Unless an order says otherwise, a larger one-off project will normally use 50% before work begins and 50% before final launch, transfer or handover.
  • Cerebro will not begin chargeable work until the scope and price have been confirmed and the required Stripe payment or deposit has cleared.

4. Deposits and milestones

A deposit reserves capacity and funds the initial work. The order must explain whether it is refundable and how cancellation charges are calculated. Cerebro will not treat every deposit as automatically non-refundable regardless of work completed or loss incurred.

Milestone payments become due when the corresponding milestone is reached or submitted for review, subject to the acceptance process in the order.

5. Managed subscriptions

  • The order will state the setup fee, recurring price, billing period and what is included.
  • Managed subscriptions are monthly rolling with no minimum term unless a different term is clearly agreed in writing for a specific order.
  • Unless stated otherwise, subscriptions are charged monthly in advance through Stripe and renew automatically until cancelled.
  • The customer authorises Stripe to charge the selected payment method on each renewal date.
  • Usage above an included allowance will be charged only where the rate or calculation method was disclosed and the customer has approved the arrangement.
  • Customers may cancel through the Stripe Customer Portal or by emailing Info@cerebro-consulting.com. Future renewals stop when cancellation takes effect, subject to any mandatory notice or cooling-off rights.

6. Third-party and usage costs

Hosting, domains, app-store fees, telephony, email, model usage, software licences and API charges are included only when the package or order expressly says so. Otherwise, they are paid directly by the customer or recharged transparently with approval.

Where practical, one-off systems are built in customer-owned accounts so the customer retains visibility and control over continuing costs.

7. Payment processors and security

Payments are processed by Stripe. Stripe handles sensitive card or bank information under its own terms and privacy notice. Cerebro is not intended to receive or store full card details.

A payment is not complete until Stripe confirms it. Cerebro will issue or arrange an order confirmation, receipt or invoice in a format the customer can retain.

8. Failed or overdue payments

If a recurring payment fails, Stripe may retry it and notify the customer. Cerebro may pause a managed service after reasonable notice if an undisputed amount remains unpaid, particularly where continuing operation creates external costs.

Cerebro will not remove access to customer-owned assets merely to pressure payment, but may withhold unpaid final deliverables, licences or handover items where lawful and stated in the order.

9. Price changes

A fixed one-off price will not change unless the scope changes or the original information was materially inaccurate. Subscription prices may change for future billing periods only after clear advance notice. The customer may cancel before the new price takes effect, subject to any lawful minimum term already agreed.

10. Chargebacks and payment disputes

Customers should contact Cerebro promptly about an unfamiliar or disputed charge so it can be investigated. This does not remove any right to contact a bank or payment provider. Knowingly filing a false chargeback may result in suspension and recovery of properly due amounts.

11. Order confirmation and records

After an online order, Cerebro will provide confirmation by email or another durable format containing the package, price, renewal terms, cancellation information and applicable legal documents. Customers should keep these records.
